This page contains a monthly summary of the most significant changes made to the Practice Manager program. The latest version of Practice Manager is dated 18/06/2008. Please refer back to this page each time you load an update CD or use the "Internet Update" facility so that you can see what has been changed and what new facilities have been added. Older release notes can be viewed by clicking here.

Online Form Library |

Auto Banking |
Normally, when a payment is received (either from an invoice or from Additional Income) it is added to the "Paying In Book" so that it can be added to a paying in slip and banked. It is now possible to set certain payment types so that when payments are received they skip the Paying In Book section and are added directly to a pre-selected bank statement. This is of particular use for payment types such as BACS transfers. This facility can be enabled by going into "Misc, Look-up Table Maintenance, Accounts, Payment Methods", ticking the "AutoBank" option next to the required payment method. You can also select a default bank account for each payment method. If no bank account is selected, you will be able to specify the account at the time the payment is received. |
Stock Security Levels |
New security levels have been added to the "Misc, Users, Security Setup" screen to allow access to be restricted to "Add/Amend Stock", "Adjust Stock Levels", and "Receive Stock". |
View Letters |
When using the "View Letter" option (within Previous Correspondence), you can now select a different printer before printing. |

New "E-Fax" Service |
Practice Manager's new "E-Fax" service allows you to send documents to any fax machine
in the world without the need for additional software, phone lines, etc. By selecting
the "E-Fax" option from the "Previous Letters" screen, any selected documents can
be sent via the internet to any normal fax machine, including an optional cover-sheet.
The cost of this service is based on the number of pages to be transmitted and the
destination phone number, and uses the same system of Credits as used for other DGL
services (SMS text messages, postcode/address lookups, etc). E-Faxes to UK (non-premium) numbers, USA, Canada, Australia, New Zealand, France,
Germany and Spain cost just one credit per page. Faxes to Greece and Poland cost
2 credits per page. Faxes to the rest of the world are 5 credits per page. Faxes
sent to premium rate numbers (0871, 09xx, etc,) are significantly higher. The total
cost (in Credits) is always shown prior to sending. [prices correct at time of writing.] The status of sent E-Faxes, along with the number of pages sent / credits uses / etc can be monitored via reports in the "Misc \ E-Fax \ Reports" menu. |
Cosmetic Changes |
All of Practice Manager's pop-up dialogue boxes (those messages that ask you to select Yes/No, OK/Cancel, etc) have been updated to make them larger, brighter, and therefore clearer and easier to read. |
Norwich Union Schedule |
The Norwich Union Fee Schedule has been updated to include recently added procedure codes and alterations. |
Online Form Library |
Additional forms have also been added into the Online Form Library. These include:

Receive Payment / Multiple Payment |
When allocating a payment against an outstanding invoice, if you are receiving more than the outstanding amount you now have the choice of recording the over-payment as a deposit, or recording it against the invoice so that the invoice is in credit. |
Patient Notes |
When printing patient notes, the following changes have been made:

Exporting Clinic List to Outlook |
When using the "Export To Outlook" button on the Clinic List screen (to copy appointment details across to Microsoft Outlook), you can now select which diary within Outlook you want to export to. You can export to any diary stored on your computer. |
Patients Not To Remind |
The "Patients Not To Remind" screen has been re-designed to be larger and clearer than before. The list of patients now also shows their patient number and DOB. |
Photos |
When viewing a patient's photos there is now an "Export Photos" option which allows you to save the photos as standard Windows files to any location, such as USB drives, etc. This can be of use if you wish to make use of the photos within other software, such as PowerPoint presentations. |
Patient Details Screen |
The "More" button to the right of "Salutation" now shows in blue if the current patient has additional salutation details recorded (ie, over-ride form of address, etc) |
Detailed Patient Statement |
Right-clicking on any entry in the Detailed Statement now gives you options to view additional information relating to the selected item. Depending on the type of item selected, options to view, add or delete are given. |
Web Booking |
When the Web Booking system is being used by GPs or Solicitors to book appointments for their patients/clients, the wording of the confirmation message can now be customised. For example, a message could be shown asking them to confirm the appointment in writing. |

Patient Search |
When searching for a patient, the "Search By" button now has options to search by Town and Email address. |
Additional Income |
The "Additional Income Report" now has an "Add" button, allowing you to record new entries without having to go back to the main menu. |
Multiple Payments |
When searching for the correct patient within the Multiple Payment screen,
there is now a tick-box to specify if you want to "Only show debtors". If ticked,
only patients with negative balances will be listed. Untick this box to list all If an Insurer is re-claiming money that they have previously paid for an invoice and re-using that money to pay a different invoice, you can now record a negative payment against the original invoice (effectively reversing the original payment, causing that invoice to become outstanding again) and can then re-assign the money to another invoice.

Outstanding Invoices By Solicitor Report |
The layout of this report has been improved so that long solicitor reference numbers can now be printed correctly. |

Transcription Bureau Service |
DGL has now successfully completed its trial phase of providing integrated links between Practice Manager and carefully selected partner Transcription Bureaus. This
allows you to dictate into Practice Manager (or digital dictation device), and have
the dictation automatically submitted to one of our partner bureaus for transcription.
Practice Manager can then check on the progress of the transcription, and when complete
automatically retrieves the text and insert it into the correct letter template ready
for final proof reading and printing. The service is charged on a competitive "per-line"
basis, with no minimum commitment and no contracts. |

Clinic Lists |
The "Detailed Clinic List" printout now includes the patient's Insurance Membership
Number. |

Theatre Lists |
A new facility has been added so that whenever a new Theatre List booking is made,
a letter can be generated to accompany it. This can be enabled/disabled via "Misc
/ Preferences / Diary Preferences / Theatre List Preferences" screen. You can also
use the same screen to select what type of letter to generate. |
Lab Test Results |
When requesting Lab Tests, you now have to option to print labels to accompany the
request (showing the patient name, requesting doctor's reference code and the request
reference number. This option only applies if you have a label printer attached. |
Prescription Batch Printing |
There is now an option to "batch" prescriptions so that they can printed in one go. This can be enabled via "WP / Batch Printing". When activated, each time you request a prescription you will be given the option to print it immediately or to add it to the batch to be printed later. |
Paying In Book |
The "Paying In Book" screen now has an option to only show payments that YOU received (ie, payments recorded using your user name). This makes it easier for practices which may be split across more than one site, where a member of staff at each site may look after all payments/banking for that site, or on Group Systems where different members of staff look after the payments/banking for their own Consultants. |
Resource Booking |
The "Resource Booking Report" now includes the total resource booking time on each page. |
Insurance Company Directory |
The "Insurance Company Directory Report" now has a Show/Hide button, allowing you to add additional columns of information. In particular, you can add a "Charge Band" column, allowing you to report/see which charge band each insurer is set to. |
"Send To Bureau" |
In "Transcribe Letters", if a dictation has been marked to be transcribed by the secretary, you can now over-ride this and sent it to the Transcription Bureau instead. |

Correspondence By Status Report |
This new report, accessed from the "Patients, Correspondence" menu, allows you to
view all correspondence within a FlexiReport, and both view and change the "Status"
of each document. For example, a Consultant could view all documents marked as "Awaiting
Review", view each of the letters, and mark them as "Awaiting Printing". A Secretary
could them select all of the letters which have been reviewed, print them, and mark
them as "Completed". Scanned documents are also included. |
Digital Signatures |
It is now possible to load a scanned copy of a signature against each user and/or
each specialist. The relevant signatures can then inserted into letter templates
using either the {User Signature} or {Specialist Signature} field codes. |
Secure Email |
When using the Secure Email facility, there is now a tick-box for "Pre-Arranged Password?". If selected, you can enter an encryption password which you have already pre-arranged with the recipient without having to notify them by SMS text. |
Appointment Locations |
The "Hospital Directory" now has a tick-box to denote whether each hospital is a valid locations for appointments or not. When making an appointment, hospitals not marked as being valid locations will not be included on the selection list. |
Scanned Letters |
When scanning letters or imported scanned documents into Practice Manager, you can now set a "Status" of the scan, such as "To Be Reviewed". You can also use the "Notify" option to send a message to another user regarding the scan. When they see the message, they have an option to view the scan. The "status" of scanned documents can be tracked using the Correspondence By Status Report, as described above. |
Supplier Directory |
The Supplier Directory can now store a web-site for each supplier. When double-clicked,
the website is opened in you default browser. |
Appointment Analysis Report |
Additional fields can now be added to the Appointment Analysis Report, including "Address" (Which includes the entire address as a single item), "TelNos" (which shows all telephone numbers as a single item) and "Email". |
"Additional Info" tab |
A new option has been added into the "Patient Preferences Screen" to allow you to select which fields are visible in the "Additional Info" section of the Patient Details screen. This allows you to remove fields which are not appropriate for your Practice. |
"Send To Bureau" |
In "Transcribe Letters", if a dictation has been marked to be transcribed by the secretary, you can now over-ride this and sent it to the Transcription Bureau instead. |

Previous Letters Screen |
When using the "Preview" facility within the Previous Letters screen (to show the content of the highlighted document to the right of the list of letters), you can
now adjust the size of the preview window by dragging the separator bar between the
list and the preview panel. When adjusted, the size of the preview content adjusts
accordingly. The position of the separator bar is automatically remembered for future
use. This facility is especially useful if running on a wide-screen monitor. |
Batch Printing |
When using the "View Batch" option to see the list of documents in a batch waiting the be printed, the screen is now a FlexiReport. This allows you to filter the batch by User, Specialist, etc, and only print the content that applies to you. Additionally, you can also change the number of copies for each item in the batch if required. |
Patient Details |
The "GP" field on the Patient Details screen can now be set as being mandatory, meaning that all patients must have a GP recorded against them. This can be set via "Misc,
Preferences, Patient Preferences". |
Auto Mouse Move |
The "Auto Mouse Move" option, which automatically moves the mouse pointer to the |
Word Processor |
When running Practice Manager WITHOUT first running Microsoft Word, Practice Managed used to stop and ask "Run Word now?". Instead, Word is now started automatically. |

Dictation / SMS / Address Lookup Credits |

A new option has been added into the Correspondence menu to allow you to import multiple scanned documents, whether in PDF or in TIFF file format. This is of particular use to customer who use Canon ScanSnap scanners, which automatically scan documents into a folder on your computer. |

If using the Switch converter software, you can now import Sony DVF format dictations into Practice Manager. |

a while for status changes to filter down from the mobile operator networks through
to Practice Manager, where as now status changes are received almost instantly. The SMS Status Reports now show the number of credits that each message cost, along with the total number of messages and the total number of credits. |

Supplier Directory |
The size of the Email address field in the Supplier Directory has been increased to allow for long email addresses. |
|
Reminder Letters |
When using the "Individual Reminder" facility, a warning is now shown if the patient or invoice selected has been marked as "Do not remind" from the "Automatic Reminders" list. |
|
Exporting Clinic Diary |
When using the "Export Clinic List" facility (to save the clinic diary into a .CSV file so that it can be imported into other software) you now have the option of including/excluding the "Date of Birth" and "NHS Number" fields. |

BUPA Ophthalmic Prices |
Due to recent changes in the way in which BUPA pay varying amounts for certain ophthalmic procedures, the next time you invoice for a phakoemulsification procedure Practice Manager will ask you how much you wish to charge. Your preferred fee will then be remembered for future use. |
|
New "Secure Email" facility |
A new "Secure Email" facility allows you to sent a document via email in an encrypted
form. The problem with traditional emails is that they pose a substantial data protection
risk. Emails are passed between any number of internet servers before they reach
their intended recipient, and can be intercepted at any stage along the way. There
are various methods to encrypt emails, but they all either rely on both the sender
and recipient having installed the same encryption software, and/or both parties
agreeing on passwords prior to any mail being exchanged. The Secure Email facility in Practice Manager gets around these problems by encrypting
the attachments and then sending the corresponding password as a SMS text message
to the recipient's mobile phone. In order to read the contents of the email the
recipient must have both the encrypted email AND the password from the SMS text message.
If the email is intercepted en-route, it is practically useless without the corresponding
text message password. Secure emails can be send either from the "Previous Letters" screen, or whilst a letter is still on-screen in Microsoft Word by clicking the "Send Secure Email" option in the DGL Toolbar. |

Dictation / Transcription |
The "Transcribe Letter" facility is now compatible with the Olympus RS USB foot pedals, such as the ones included in the Olympus AS-2300 transcription kits. This is in addition the existing compatibility with the Philips transcription pedals. The "Dictate Letter" option in Practice Manager can now be used with a Philips SpeechMike without needing to install or configure the Philips software. When using a Philips SpeechMike, it is no longer necessary to install and configure the SpeechApp / SpeechExec software supplied by Philips, as Practice Manager can now communicate directly with these devices. When using a Philips SpeechMike, the "recording" light on the front of the device now flashes whilst recording is in progress. When going into the "Transcribe Letters" list, if you are using the Transcription
Bureau service you will be asked if you want to check for newly completed transcriptions
from the Bureau. |

Patient Notes |
In the "Handwritten" section of Patient Notes, you can now "Paste" pages of hand-written notes taken on devices such as the AceCad DigiMemo. |

Outlook Security Warnings |
When using Practice Manager with Microsoft Outlook 2003 or Microsoft Outlook 2007, Outlook no longer displays the "Another program is attempting to access your email" warnings. |
|
Laboratory Results |
When emailing laboratory results, the PDF file created is now in colour so that abnormal
results are better highlighted. When graphing laboratory results (ie, graphing a current test result against previous
results for the same patient) the graph now shows the patient name and date of birth
more prominently, along with the date of the result. Printed Result Graphs now show the "reference range". A new button on the Result Graph allows you to copy the graph to the Windows Clipboard,
so that it can be pasted into correspondence or any other program. |

SMS Text Messages |
You can now send SMS Text Messages which are longer than the standard 140 character. Longer messages are split into "blocks" of 140 characters, with each block being charged as one credit. The maximum size of a single message is 4 blocks. |
|
Patient Search |
When searching for a patient, the details shown on the Patient Search screen now include the patient's Insurance Membership Number, and their Mobile Phone number if recorded. |
|
Hosted Server / Terminal Services |
If running on one of the DGL Hosted Servers, or from a Terminal Services connection, when quitting out of Practice Manager you are now asked if you want to log-off your remote session. |
|

Patient Details Screen |
The Patient Details screen has been re-designed to show the patient's mobile phone number more prominently. A new scroller has been added to allow you to scroll between
the various contact numbers. (This is in addition to being able to view all contact
numbers using the "Tel No's" tab.) When using the "New Appt" button to make an appointment, the pop-up calendar is now
colour coded to indicate which dates have availability etc. A new option has been added to the "Correspondence" menu at the top of the Patient Details screen, allowing you to view all SMS text messages sent to a patient, and any replies they have sent. |

Theatre Lists |

Cancelling In-Progress Invoices |
When amending an in-progress invoice, clicking "Cancel" (or pressing [Escape]) now prompts you type in the word "YES" before allowing it to be deleted. This is to help prevent the invoice from being accidentally deleted. If you want to leave the invoice in-progress rather than raising it or deleting it, click "OK" followed by "Leave In-Progress". |

Analysis Codes |
You can now assign Analysis Codes to Consultations if required. |
|
Undo Individual Reminder |
In addition to the existing option to "undo all reminder letters send on specified date", you now have the option to undo an individual reminder. This may be of use if you print off the automatic account reminder letters and then decide that you do not remind a particular patient yet. |
|
Wide-screen Monitors |
Additional background images have been included so that the Practice Manager background isn't distorted when using a wide-screen monitor or a normal monitor running at a high resolution. These new background images can be selected via "Misc, Preferences, Main Menu Preferences". Click the search icon next to the background picture, and select the size that best suits your screen. |

New "Waiting List" facility |
A new "Waiting List" facility has been added into the "Lists" menu which allows you to create any number of different waiting lists for different services (Medical Reports, Operations, etc). You can then add patients into a waiting list, assign them a priority, and track how long they have spent waiting. |

Banking |

When using the Raise In-Progress Invoices screen, the list now shows if each invoice is being sent to a third party (such as an Insurer or Solicitor) |

Patient Recall Letters |
When printing automatic patient recall letters, the letters (and any accompanying envelopes or labels) are now printed in the same order as shown on screen. This allows you to change the order of the report before printing the letters, so that the letters are either printed alphabetically, grouped by recall type, grouped by specialist, etc. |
|
Remote Dictation/Transcription |
When transcribing letters using Terminal Services or DGL's Hosted Servers, the quality of the audio playback is now greatly improved. This is because the recorded dictation is now transferred across to your local computer, rather than being played back across the internet connection. This also increases the responsiveness of the transcription foot pedals. Please update the Remote Monitor utility on your local computer to be able to make use of this. |

Emailing Dictation |
All dictated letters which are awaiting transcription are listed in the "Transcribe Letters" report. You can now right-click on any dictation and select "Email as attachment". This will create a new email message with the dictation already attached, enabling you to email it to a third part transcriptionist. |
|
Remote Document Scanning |
If running Practice Manager via Terminal Services
or from one of DGL's Hosted Servers, the RemoteMonitor utility which runs
on your local computer has been updated:

Copy / Paste Documents |
As an alternative to dragging/dropping documents onto Practice Manager from external sources (ie, dragging a document from disk), you can now right-click the original document, select 'Copy', then right-click in the Practice Manager main screen and select 'Paste'. This method allows you to import documents, photos, scanned documents, dictations, etc without using drag and drop. This is especially useful when running via Terminal Services or a Hosted Server where drag/drag is not available. You can also right-click and Paste any file into the "multimedia" section of Patient Notes. This includes documents, photos, video clips, Microsoft Journal files, etc. |

On-line Form Library |

Word 2007 compatibility |
A new option has been added into "Misc, Preferences, Correspondence Preferences" which allows Word 2007 users to force all documents to be saved in Word 97 format. This ensures that the documents can be opened by older versions of Word. This is especially important to Network or Clinic Merge users, where users may be using different versions of Word on different computers.

Attachments can now be dragged/dropped from Outlook 2007 email messages onto the Previous Letters screen. |

VAT Reports |
The "Detailed VAT Reports" have been re-designed. They are now printed in landscape format to provide more room for each entry, and include columns showing patient names for invoices and supplier names for outgoing expenses. |

Reminder Letters |
The time taken to generate the list of reminder letters to be sent has been significantly reduced. Also, the "Show/Hide" button now allows you to add a "Weeks" columns onto the report, showing the age of each invoice in weeks since raised. |

Clinic List |
The list of options presented to you when you right-click on an appointment from within the Clinic List now includes "Deposit" and "Club Billing". |
|
Graphs |
All graphs now have the ability to change the number of columns shown per page. |
|
Credit Card Details |
When entering credit card details, a warning is now shown if card has expired. When retrieving previously stored card details, the same warning is also shown. |
|

The "Raise In-Progress Invoices" screen has been amended so that all currently in-progress invoices are initially unticked, to prevent them being raised by accident. A new "All" button has been added allowing you to select all invoices in one go.. |

Internet Update |
The "Internet Update" process has been improved to make the downloading of updated versions more reliable. |
|
Hospital Billing |
When using the "Multiple Payment" screen to record several invoices being paid off with a single payment, there is now a new option so that you are only prompted to print a receipt for shortfall amounts. For example, when receiving a single payment from an Insurer for several patient invoices, you can send shortfall letters for those patients who require shortfall notifications without being prompted to send receipts for invoices settled in full. |

Multiple Payment Receipts |
The "Hospital Directory" now allows you to specify a default "charge band" for each hospital, so that the correct fee scale will automatically be applied when billing that hospital directly. |

Import Dictation |
Practice Manager will now import dictations recorded in MSV format (Sony Memory Stick Compressed Voice File) and DCT format (used by the Express Dictate software for Mac/PC, Pocket Dictate voice recorder for Pocket PCs, and Palm Dictate for Palm PCs). Files in either format can either be imported using the "Import Dictation" option, or by dragging/dropping the files onto the Practice Manager Main Menu screen. Because of licensing restrictions associated with these file formats, a small 3rd party utility is required costing around $US40 (approx £20). Please contact DGL for details. Spell Checker |
Practice Manager now has a built-in spell check facility complete with a 133,000 word medical vocabulary relating to anatomy, diseases, health care and drug names. This can be used to check the spelling within any field and can be activated by pressing the key combination [CTRL]+[ALT]+[S] at any time (however you can change the hot-key to anything you like via "Misc, Preferences, Hotkey Preferences").
